This article will explore whether a processor needs to maintain a Record of Processing Activities and some critical points regarding this documentation.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Do Data Processors Need a Record of Processing Activities?<\/h2>\n\n\n\n<p>Many organisations that process personal data must record their data processing activities to comply with <a href=\"https:\/\/legalvision.co.uk\/data-privacy-it\/how-does-gdpr-affect-my-business\/\">UK GDPR rules<\/a>.&nbsp;<\/p>\n\n\n\n<p>This obligation applies to both controllers and processors. However, data controllers have stricter obligations and need more detailed information in their records.<\/p>\n\n\n\n<p>A Record of Processing Activities is a record which documents how an organisation uses personal data.&nbsp;<\/p>\n\n\n\n<p>For example, a Record of Processing Activities includes various critical information such as:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>what personal data an organisation processes;<\/li>\n\n\n\n<li>why personal data is processed;<\/li>\n\n\n\n<li>who personal data is shared with; and\u00a0<\/li>\n\n\n\n<li>how personal data is secured.\u00a0<\/li>\n<\/ul>\n\n\n\n<p>There is a limited exemption for organisations with less than 250 employees. These organisations technically only need to document their processing activities, which are not occasional or could risk individual freedoms or involve special categories of data, such as criminal convictions. However, the <a href=\"https:\/\/legalvision.co.uk\/data-privacy-it\/importance-of-complying-with-the-ico\/\">ICO<\/a> still recommends keeping these records as best practice.&nbsp;<\/p>\n\n\n\n<div  class=\"box box--icon box--info\">\n    <p>A ROPA does not need to be in a specific format. However, it should include vital information about the types of personal data the process uses and why.<\/p>\n<\/div>\n\n\n\n<p>The ICO recommends that companies update their ROPAs regularly to reflect any changes in how they use personal data.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What Should a Data Processor Note About Processing Records?<\/h2>\n\n\n\n<p>As a data processor, it is crucial to maintain robust documentation for specific processing activities.
